Construction Handover Checklist: Documents, Assets and Close-out

A structured construction handover checklist covering readiness, assets, O&M manuals, commissioning, warranties and unresolved work.

· BuildRevu Team

Construction handover succeeds when the client receives a usable asset and a traceable record, not when a final folder is delivered. Start the handover register early enough to close gaps before completion.

Define the required deliverables

List the documents required by the contract and specification: approved as-built drawings, O&M manuals, warranties, test certificates, authority approvals, training records, spare-parts schedules and commissioning results. Give every item an owner and target date.

Build the asset register

For maintainable equipment, record the asset code, description, system, manufacturer, model, serial number, supplier, exact location and warranty dates. Link each asset to its manuals, certificates and commissioning checklist.

Control commissioning

A commissioning checklist should identify prerequisites, test steps, acceptance values, witnesses, results and outstanding actions. Failed or incomplete checks stay visible until retest and acceptance.

Confirm physical readiness

Document readiness cannot hide open site work. Review snags, NCRs, incomplete inspections, demonstrations, training and access requirements by building and zone. Agree which minor items may transfer to a controlled defects list.

Verify before packaging

Check that files open, revisions are final, titles and asset references match, scans are legible and warranties have correct start dates. Reject duplicate or draft files rather than carrying uncertainty into operations.

Minimum handover checklist

  • Approved as-built drawing register.
  • O&M manual register and accepted revisions.
  • Asset register with location and warranty.
  • Commissioning and test evidence.
  • Statutory and authority certificates.
  • Client training and attendance records.
  • Spare parts, keys and access credentials.
  • Open snag/NCR statement and agreed ownership.
  • Defects liability dates and contacts.
  • Final indexed export with approval history.

BuildRevu connects readiness, asset, document and commissioning registers with live quality records, then exports the handover pack from the current data.
